Renew a prepaid business plan
When a prepaid period ends, the plan stops covering new events. Albums already created keep their own retention windows and carry on collecting.
The 2 things worth doing beforehand: renew if you have events coming, and download anything whose window is close.
What actually lapses
The allowance for creating new events under the plan, the seats for colleagues, and the branding applied to new work. It is the entitlement to keep running events as a business, not a switch that reaches into events already made.
Nothing is deleted at the end of a period. That is a separate mechanism with its own clock.
- Check what is still collecting. Every event runs on its own clock, unrelated to your billing period.
- Renew before the date if events are booked. A gap means new events fall back to per-event purchasing.
- Download what is near its window. That is time-limited in a way the plan is not.
What keeps running
Every event you already created, with the retention window it started with. Those run from each event s own date, so an album created near the end of a period can still be collecting months later.
Guests notice nothing. The code keeps working, the album keeps its contributions, and uploads carry on as before.
| Ends | Keeps running | |
|---|---|---|
| Creating new events under the plan | Yes | |
| Colleague seats | Yes | |
| Existing albums | Until their own windows end | |
| Printed codes for existing events | Yes | |
| Invoices already issued | Yes, in your account |
The billing period and an album s retention window are 2 separate clocks. Neither shortens the other.
What a gap costs you
Without an active plan, a new event falls back to per-event purchasing on the personal tiers — which works, but without your branding, your domain or your colleagues seats. For a client event that is the wrong shape rather than merely a smaller one.
So the date to watch is the first booked event after the period ends, not the end of the period itself.
When to renew
Before the first event you have booked in the next period, with enough margin that a payment problem does not become a client problem. Renewing early does not waste anything, because the period is what you are buying rather than a start date.
If you are between tiers, a renewal is the natural moment to move up or down.
The download deadline is different
An album s window runs from its event date and ends with a 14-day grace period, warned by email at 14, 3 and 1 day. That happens whether or not your plan is active, so a lapsed plan and a lapsing album are unrelated problems that can arrive together.
Work through anything close to its window before the period ends, while you still have your usual access.
Telling clients
Nothing changes for a client whose event already exists, so there is nothing to announce. What changes is the next one you set up for them, which will look different unless you renew first.
If you hand albums over, say when each one expires. That date is theirs to plan around.
Common questions
Do my albums disappear when the plan ends?
No. Each keeps its own retention window, unrelated to your billing period.
What can I no longer do?
Create new events under the plan, use colleague seats, and apply your branding to new work.
Do printed codes stop working?
No. Existing events carry on exactly as before.
When should I renew?
Before your first booked event in the next period, with margin for a payment problem.
Can I change tier at renewal?
Yes. A renewal is the natural moment to move up or down.
