Invoices and VAT receipts
An invoice carries the company name, address and VAT number that were on file when you paid, plus the amount, the currency and the event name.
It does not update retroactively. Changing your details later applies to the next purchase, not to invoices already issued.
What an invoice carries
The company name and address you entered, the VAT number if you gave one, the amount and currency charged, and the name of the event it belongs to. That last detail is what makes a folder of them readable a year later.
The details come from your account rather than from the event, so they are the same across every purchase you make.
- Set the details first. Company name, address and VAT number, before the purchase.
- Buy the event. The invoice is generated from what was on file at that moment.
- Download the PDF. It sits in your account settings under billing, not in the event.
Why it does not change afterwards
An issued invoice is a record of what was true at the moment of purchase. Editing it later would make it a worse record, so changing your billing details applies from the next purchase onwards rather than backwards.
That is the reason the order matters: details first, purchase second.
| Step | When | Why |
|---|---|---|
| Enter company and address | Before the first purchase | It is what the invoice will carry |
| Enter the VAT number | Before the first purchase | It cannot be added afterwards |
| Buy the event | Once the details are set | The invoice is generated from them |
| Download the PDF | Any time after | It stays in your account |
Every step after the purchase is reversible. Only the details before it are not.
The VAT number
Entering a VAT number puts it on the invoice, and the format is checked as you type — a malformed one is rejected rather than quietly accepted. It is stored with your account and reused for future purchases.
Whether and how it affects the tax treatment of a purchase depends on where you and we are established, and your accountant is the right person to ask about that.
If you are not buying as a business
Leave the company fields empty. The invoice is then a plain receipt with your name and the amount, which is all a private purchase needs. Nothing is missing and nothing has to be requested separately.
You can add business details later, and they will apply to the next purchase.
One invoice per event
A personal purchase produces exactly 1 invoice, because it is a one-off for 1 event. 3 parties in a year produce 3 invoices rather than a running account, and there is no statement to reconcile.
Business plans bill by period instead, prepaid 6 or 12 months at a time.
Who can get at them
On a business account billing is its own permission: an owner sees everything, an administrator sees everything except billing, and a billing-only role exists for somebody who needs the paperwork and nothing else.
A personal account has no such split.
Common questions
Can I add a VAT number to an invoice I already have?
No. It applies from the next purchase onwards.
Can I change the company name on an issued invoice?
No. An invoice records what was true at the moment of purchase.
What if I am buying privately?
Leave the company fields empty. The invoice is a plain receipt with your name.
Do I get a monthly statement?
No. Each personal purchase produces its own invoice.
Is the VAT number format checked?
Yes, as you type. A malformed one is rejected rather than stored.
